HomeMy WebLinkAboutFourth of July Steering Committee Minutes 1985-05-291�1 is • 4TH OF JULY STEERING COMMITTEE MEETING 5/29/1985 A Steering Committee meeting was held on May 29, 1985 at 7:30 p.m. at the Public Works Building. The following business transpired: 1. ANNOUNCEMENTS: Donna Cashion - A painting of the three flags and birm by Laurie Whitehead was presented to the Committee, along with the flyer that has been distributed to the schools. Laurie Whitehead would like to donate the money from sale of the original to the flag fund. Benny Baker explained that since the Boy Scouts were not able to participate in a door to door collection for the flag fund, plan "B" is to have a flyer printed to be passed out through the schools and mailed with the brochure. The cost of the printing of the flyers will come out of the Flag Fund. Donna Cashion related to the Committee Laurie Whitehead's sug- gestion that notecards of the original painting could be sold as a promotional item on the 4th with � of the proceeds going to the Flag Fund and 2 to the Fine Arts Commission. MOTION; SECOND: Kathleen Holt Paul Fronczek VOTE; Unanimous ; FOR To let the Fine Arts Committee sale notecards of the flags. MOTION CARRIED Paul Fronczek - Laurie Whitehead's painting in blue half tone will be used on the cover of the brochure. Delivery date for the brochure from Top Printing is June 13 or sooner. Leslie Vice will emcee the evening program. He is in the process of trying to obtain a barber shop quartet to sing in the program. The Com- munity Chorus has been contacted and will perform in the evening program. The Volunteer Form was discussed. Lynn Chatham is to contact The Journal to insert the Organization letter as a means to contact the public. MOTION: Ben Malek To run the Mayor's Organization Letter as an editorial or insert in the Journal with an immediate mail out of existing list of or- ganizations with a follow-up tele- phone call. SECOND: Evelyn Newman VOTE; Unanimous: FOR MOTION CARRIED • go STEERING COMMITTEE MEETING P.2 Regarding the medallions, Donna Cashion has had requests from an organization to have the organization's name engraved on the medallion instead of an individual's name. The committee is in favor of granting the organizations request. Donna pointed out that she still needed the person's name that will be riding on the float and receiving the medallion for the ceremonies. Lynn Chatham - Macy's float is to be stored at Fire Station #2. Permission was obtained from Mark Clark. The Fire Dept. re- quested a release from liability from Macy's. Lynn Chatham is to check with Jim Morgan on the storage of the float. Evelyn Newman - will provide containers with the flag flyer for collection of contributions at local stores and banks. The cloggers, gymnists and dancers will be contacted for entertainment in the park in the afternoon. REPORTS FROM COMMITTEE HEADS Janet Sobey/Bette Jane Wells - Rick's Seafood contacted Janet Sobey in regards to selling caps and t-shirts in his place of business. Janet suggested issuing promotional items to retail stores providing 100% profit would go to the City. The mer- chant would personally be responsible for the inventory, and would only sale the items through the 4th of July at which time the Chamber of Commerce will be the sole location for sales. MOTION: LYNN CHATHAM To let the merchants sell the promotional items with 100% profit going to the City,through the 4th of July at which time the Chamber of Commerce will be the sole location for sales. SECOND: Evelyn Newman VOTE: Unanimous: FOR MOTION CARRIED After two days of selling at Texas Commerce Bank, 87 t-shirts, 39 caps and 11 mugs were sold for a total of $850.00. The need for reordering was discussed but it was decided to wait a while to see if sales stayed steady. Evelyn Newman will check with Council before reordering. Donna Cashion stated that she had checked with Jim Morgan regarding items being sold at a reduced price to City employees and was informed no reduced price would be offered this year nor any give aways. Janet Sobey reported the Little Dribbler's National Tournament will be held in Friends - wood on June 6, 7, and 8th. The local Little Dribblers would like to purchase shirts, caps and muds at a reduced price from the t STEERING COMMITTEE MEETING P. 3 -6 • committee for resale to the people in twon for the tournament. The profit from the sales would go to the Little Dribblers to off -set the cost of hosting the tournament. After the com- mittee's discussion the following motion was made. MOTION: Ben Malek The t-shirt committee continue to sell promotional items through TCB, Community National, Delta Savings, Mainland Savings, Chamber of Commerce and local merchants but not to wholesale the promotion items to the Little Dribblers. SECOND: Lynn Chatham BOTE: Unanimous: SCRAPBOOK FOR MOTION CARRIED Ann Talbot is compiling material for the scrapbook of the 4th of July Celebration. POLAROID PHOTOGRAPHER Two people with polaroid cameras are needed to take photos of the floats in the parade which will aid the judges in the se- lection of winners. (`nMMV ATTq Paul Fronczek and Donna Cashion will contact Committee Heads individually to cover fine details of each Sub -committee. The Steering Committee will began meeting once a week starting Wed. June 5, 1985 at 7:30 p.m.. at the Public Works Bldg. Donna Cashion informed the Committee the City Humane Officer would like to enter the parade with a float carrying the an- imals in the City Pound. At the end of the parade, the float would be an Adopt -A -Pet Booth at the Park. Donna suggested to the Humane Officer to check with the Police Dept and Jim Morgan prior to building her float. The Steering Committee has no objections to this idea. Lynn Chatham suggested the committee follow through on the ideas and plans they have previously committed to and not suggest new projects for the Fourth.
