HomeMy WebLinkAboutFourth of July Steering Committee Minutes 06-13-2018 4th of July Steering Committee Meeting Minutes June 13, 2018 Committee members attending: Barbara Blanchard Tommy McDonald Kathy Molinaro Michelle Scarpa Stefanie Karacostas Chris Scarpa Terry McKee Rufino Ramirez Stacy Scarpa James Toney-Director of Parks and Recreation Michael Boyett-Staff Heather Whitty-Staff Gary Williams-Staff 1. Call to order: Meeting called to order at 6:OOpm. 2. Discussion and possible action regarding May 16, 2018 minutes: Barbara made a motion to approve the minutes as presented, Rufino second the motion and the motion was approved unanimously. 3. Discussion and possible action regarding the 2018 41h of July Celebration. *Dignitary breakfast: Whataburger, Red Oak, Dunn Bros and Brothers Produce will be the sponsors. Barbara stated she still needs paper products. *Parade: As of right now we have 35 parade entries, Kimberly emailed all invited Grand Marshal's, first responders waiting to hear a response. James stated that the Lone Star Squadron will have a minimum of one plane flying over the parade. Also James state4d the new mowing contractor will be cleaning up the medians on FM518 and have them done before the parade. *Day Program: Michelle stated we have 48 booths, she stated that theirs 3 entries on the bottom of the spreadsheet without any details, power, size of booth etc. Will be checking with Kim. Discussed blocking off the old fire station parking lot, Michelle will email Kim to ask for dimension of food trucks and other for configuration purposes. James Toney will check with Scott on having 2 backup generators. Michelle would like to have the park map by June 22nd. Terry McKee asked about being the DJ, what is expected from him. Asked if he should bring in his own sound equipment, James stated yes. Talked to Chris with Intents and he is providing us with 2 cooling stations in the park. Old West Soda Company wants to know if the can be at the day and evening program, committee stated yes. *Evening Program: Who is covering the back gate, Renae the back gate and Tommy at front gate. Flyer over is confirmed. James Toney will call the Waste Connections to confirm portapotties. Rufino stated BJ's is sponsoring the food for the band, we still need to find food for the committee, staff and sound and video wall crew. Rufino will contact Pete on food during the day for the crew. Boy Scouts are confirmed to present the colors, skydiving is confirmed as well. The Gathering will be happening on the 3rd at Hope Lutheran Church. Committee voted on the Mora Spirit Award, Tommy made motion to approve the awards to Sam Shimfesself from Crosspoint Communications and Cary Wilson from Ron Carter Autoland. The Evelyn B Newman award will be announced at the event. 4. Adjournment: Meeting adjourned at 7:04pm Approved by: Kimberly Ramirez Date: June 27, 2018
