1. Call to order: The meeting was called to order at 7:05pm.
2. Communications from the public: James Toney informed the board that we have received
more sponsors for the event, Alinda Martin, Better Homes and Garden, $500, Joyce Tolliver
Allstate, $500, Clear Lake BMW, $500, Justin's Seafood, $500 and David Weekley Homes,
$2500. James suggested creating signage for publicity for our sponsors. James stated that Drew
did a great job creating the ad for the event with the help from Buzz at the Journal.
3. Discussion and possible action regarding the 2013, minutes:
Stefanie made a motion to approve the minutes as presented, Stacy second the motion and the
motion passed unanimously.
Discussion and possible action regarding the 2013, 4th of July celebration
A. Parade: Drew stated that we have 53 entries, Stacy asked how long the grand marshal float
is going to be, and James stated we’ll check with Lucy. Drew informed the board that 5 mayors
will be participating, James asked the board to confirm that only living mayors and their families
will be participating as grand marshals in the parade, committee stated yes they only wanted
living mayors and their families to participate as grand marshal. Tony stated yes, we have
plenty of judges. Robin is still announcing the parade. James stated that we will have radios for
the event from Commercial Wireless Solutions. We still need insurance certificates for
Lansdowne Moody. Tony suggested that only staff and committee members will use the gators
due to insurance purposes.
B. Day: Michelle stated we have 50 booths this year; James stated that we have been approach
by Diane Fifer with Art Dwellers, and she would like to help with the day program in helping us
get booths to expand the day program. Tony suggested trying it for a year but keeping the
price the same. Tony asked if you want 100 booths out there. He stated we’ll look it over this
year and discuss it at the August meeting. Michele asked if BMW is going to be there to have
their cars in the park, James stated no. Michele stated that we have help for our ice and EMS
booth. Diane Fifer with Art Dwellers will do a painting demonstration during the day program
and FOX 26 news will be the emcee for the day event. James stated we'll give her the timeline
and she'll announce the parade winners. James stated we have plenty of workers for the day
program amusement rides; we will have coolers at EMS and Ticket booth, and the gazebo.
Michelle stated we’ll paint the streets early on the 3rd and decorate city hall at 5pm. The
mascots will be dropped off at the Chamber. James stated we’ll open the Stevenson park gate
at 3pm.
C. Evening: James stated we already talked to Scott with Lighthouse and he will provide food
for the band. Michael stated were offering amusement ride passes for the rides, a 4 passes to
each bus driver. We will have around 23 buses at the evening program. James stated Dave
Smith will do the pledge. We’re waiting for karaoke night to select the rest of the singers. Lucy
asked if they can have all 3 trucks in the park, James stated yes. Lucy stated they have a truck
at the front gate, back gate and in the park. Sound check is at 5:30pm; Tommy will be at gate
between 4-6:30pm. Staff will send Tommy a complete list of people allowed in the park.
Everyone should be in the park by 6pm. James stated we need to inform council they have to
be in the park by 6pm. and no parking behind the stage. Committee suggested doing a better
job of barricading the back of the stage. James stated we have police officers to the right of the
stage; we’ll let PD know that we don’t want anyone at the back of the stage. Need a banner for
centennial installed, volunteers for buses and volunteers for night amusement rides. Staff will
create a map for PD that outlines danger zones. Staff will send out timeline to committee and
PD. Tony stated we need help for buses and amusement rides.
Committee and staff should wear blue shirts during the day and red shirts at night.
We will meet Tuesday to call parade participants and will have subcommittee meeting Tuesday
to review weather.
5. Adjournment: The meeting was adjourned 8:35 p.m.
