HomeMy WebLinkAboutFourth of July Steering Committee Minutes 2009-07-15 Fourth of July Steering Committee July 15, 2009 Minutes A regular meeting of the Fourth of July Steering Committee was held on Wednesday, July 15, 2009 at City Hall, located at 910 S Friendswood Dr, Friendswood, TX 77546, at which time the following subje ct will be considered. The following members and staff were present at the meeting: Dan Morgan Tony Scarpa Chris Scarpa Nicole Morgan Stacy Scarpa Michelle Scarpa Steve Pate Corey Kirkland Gary Wenzel Tommy McDonald Darrell Fales Robin Hall Skip Redding Rachel Williams Director of Community Services: James Toney Staff: Kimberly Ramirez 1. Call to order: Meeting was called to order at 7:06 p.m. 2. Communications from the public: Dan Morgan suggested not to meet everything month and to only meet when their specific action items to vote on. Only subcommittees should meet monthly or when needed. Dan Morgan suggested having the Community Services office open on July 3rd all day to answer phones. Next years event will fall on a Sunday. Ken Turner suggested to have a packet of the lineup, parade line up, and map with all the information throughout the day for all committee members. Committee suggested having three stages of entertainment during the day program. 3. Minutes Nicole Morgan made a motion to approve the June 24, 2009 minutes as presented, Tommy McDonald second the motion and the motion passed unanimously. 4. Discussion and Possible action regarding the 2009, 4 th of July Celebration: A. Parade: Tony Scarpa stated that parade went well, except for the horses. Committee requested at the end of the parade have someone go back to Captains Corner and clean up immediately after the parade, that wasn’t done this year. Committee also suggested using barricades in the parking lot of Captains Corner instead of tape to keep cars out. Tony Scarpa suggested putting horses by the fire station. Would like to have signs in the median with the parade route numbers on them to let participants know where their assignment is located. Corey Kirkland stated that we need to have a better way to communicate with PD and the FD. Corey Kirkland stated that their were large gaps in between the parade. Mr. Kirkland stated that their should be parade committee members stage at different medians to make sure everything is going as planned. Bicycles need to be roped off at 7am and signs need to be made. B. Day Program: Nicole Morgan stated that the day program was great, but cool zones kept tripping off the other booths. Nicole also stated that the cool zones can’t be set up next to each other because it will trip. Nicole stated that Michelle Scarpa did a great job setting up the day program. The timeline needs to come out earlier. Publish the results of the parade winners. Nicole Morgan stated that the numbers weren’t high this year. Need large PA system at the gazebo. Corey Kirkland stated that the breakfast was a success. Corey Kirkland requested more visible shirts so the committee can be recognized in the crowd, possible vest. Tony Scarpa requested to have City Hall accessible and have keys available to the committee. Nicole Morgan suggested that the radios and gators to be signed out at a certain time and suggested that the schedules are announced for the newer members. C. Evening: Nicole Morgan suggested advertise the cut off time for bus pick up. Dan Morgan stated that we will need to do fencing instead of rope, the lights were not turned on at the back field, and also stated that their was too many cars parked in the parking lot of the night program. Sound company needs to load their own equipment. Trash cans and tables and chair need to be set up during the day. Need a different electrical company on standby before 7pm. Cool zones under the tent during the day at Centennial. Lighthouse needs one vehicle instead of two in the parking lot at the night program. Need to put parking passes in vendor packets and committee packets for next year. Mail parking passes to the vendors. Inform PD that scooters, skateboards, and gators are not allowed in Centennial, and need to enforce to keep kids out of the lake area. Assign committee members for security during the evening program, near the lake. Security committee need vest for the evening program. Need sign for walkers and buses. Need fencing for the bus area. Approximately 5,000 people took the buses. Robin Hall stated that having the officer direct traffic at 518 and 528 worked out well.
